New Hire/Rehire Guidelines

To request or appoint a new hire, please submit request to HWCOE HR/EBS listserv at:

To get started, it is important for us to collect the basic information for your new hire appointment. To remain in compliance and organized, we ask that you adhere to the following guidelines when appointing new hires. Please include the following information:

  • Individual’s Name
  • Email Address
  • UFID, if possible
  • Anticipated start date*
  • Duties and Responsibilities
  • Funding source**
  • Hourly rate or annual salary (GA appointments)
  • FTE

*Based on background results, receipt of documents

**We will contact the MSE Research Administration office to confirm budget approval.

The individual will be contacted via email with documents and other important information required to initiate the hire. Since HWCOE requires background screenings for all personnel, potential hires are not to begin working until cleared by HWCOE HR/EBS. This process can take up to 3 business days or more, contingent upon completion of the required payroll documentation. Additionally, some hire requests may require additional approval from the college via the HWCOE petition form. Our office will contact the hire to begin working once fully cleared.

For re-appointments, please provide the name, extension period (GAs must follow academic calendar), funding source and any changes to duties, rate/FTE.

Please note: any graduate level student/employee hired to do research related work or work on a research sponsored program will need to be approved via a HWCOE internal petition.
